Description
Title: Contract Audit & Compliance Lead
Reports To: General Counsel
Department: Legal
Location: Cincinnati, OH
Position Status: Salary Exempt
About DMG:
Divisions Maintenance Group provides facility maintenance services to retail chains and distribution and fulfillment centers across the country.
We are leading the way with our technology, creating world-class products that are revolutionizing the industry and fulfilling our brand promise of “Uninterrupted Peace of Mind.”
DMG is a Certified Great Place to Work with a strong, inclusive culture and top-notch benefits.
Job Summary:
The Contract Audit & Compliance Lead strengthens DMG’s financial and operational integrity by ensuring customer agreements are applied consistently and potential compliance risks are addressed early. Serving as a trusted partner across the business, this role brings structure, insight, and sound judgment to complex audit matters while helping leadership make informed decisions and reduce future exposure.
What You'll Do:
- Serves as the single point of accountability for all customer-initiated audits, owning each audit from intake through closure: scope assessment, document collection, position development, negotiation coordination, and final settlement or resolution.
- Tests DMG’s invoicing and service delivery against contract terms on an ongoing basis across customer accounts, identifying and resolving compliance gaps between audit cycles rather than waiting for customer-initiated demands.
- Coordinates across Legal, Procurement, Finance, and Account Teams; translates findings and exposure into clear, actionable information for senior leadership.
- Reports to the General Counsel with accountability expectations to the Associate General Counsel. This is a self-directed role that requires independent judgment on scope disputes, data gaps, and response strategy, with escalation to the General Counsel on matters involving legal exposure, litigation risk, or executive authorization thresholds.
- Tracks audit-cycle commitments and financial exposure across all active audits and produces regular status reports for the Executive Team.
- Own the end-to-end audit response for all customer-initiated audits.
- Serve as DMG’s primary point of contact with third-party auditors and customer in-house auditors. Draft and issue all customer-facing audit communications, including acknowledgment letters, scope objections, document production transmittals, and settlement position papers.
- Build out DMG’s internal audit function. Proactively test DMG’s invoicing and service delivery records and systems against customer contract terms on a defined schedule. Identify discrepancies before they become audit findings; remediate in coordination with Accounting, Product & Engineering, and Account Teams.
- Build and maintain an audit calendar that tracks all contractual audit cycles, notice periods, and record retention obligations across cornerstone accounts. Provide advance notice to Legal and Finance of upcoming audit windows.
- Manage and maintain all customer contract data.
- Apply controls and process improvements identified through closed audits to reduce repeat exposure. Maintain a running log of systemic findings and implementation status.
- Produce a monthly audit status report covering all active audits, aggregate financial exposure, and resolution activity. Produce an annual audit risk report identifying systemic exposure patterns across the customer portfolio.
- Maintain audit records in compliance with DMG’s records retention schedule.
- Other duties as assigned by management.
What You Need:
- Bachelor’s degree required; concentration in business, accounting, finance, or a related field preferred.
- 5+ years of experience in audit response, contract compliance, legal operations, procurement, or a comparable function with direct responsibility for managing complex third-party review processes.
- Demonstrated ability to read and interpret commercial contracts, including identifying audit rights, notice requirements, and scope limitations.
- Experience working with financial records, invoice data, and reconciliation processes.
- Ability to manage multiple concurrent workstreams with hard external deadlines and limited supervision.
- Clear, precise written communication skills. Customer-facing correspondence in this role carries legal and financial significance; drafting accuracy is non-negotiable.
- Comfortable operating at the intersection of Legal, Finance, and Operations; able to translate between technical, financial, and legal framing depending on audience.
- Meticulous attention to detail and rigorous document management discipline; experience maintaining audit logs, SharePoint records, or comparable structured file systems.
- Sound judgment on when to act independently and when to escalate; does not wait to be told when a situation warrants senior attention.
- Experience using generative AI tools responsibly, including safeguarding confidential and privileged information, verifying AI-generated output for accuracy, and following company data-security and acceptable-use policies.
- Proficiency with Microsoft 365 (Excel, SharePoint, Word, Outlook).
- Ability to manage the stress of a fast-paced environment.
- Ability to meet the in-person requirements of the team and/or business needs.
Preferred Requirements
- Experience in facilities maintenance, field services, or a multi-site service industry where billing is tied to work order completion and third-party verification.
- Prior experience responding to retail or national-account compliance audits, including familiarity with audit methodologies used by audit firms.
- Familiarity with contract management software.
- Analyst background or experience working with large data sets.
- Knowledge of compliance and risk management frameworks in a corporate environment.
